Privacy Policy — TrackRoom

TrackRoom ("TrackRoom," "we," "us," or "our") is operated by Tone Tree LLC, a California limited liability company. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to the TrackRoom app (iPhone, iPad, and web at tonetree.app).
By using TrackRoom, you agree to this Privacy Policy. If you don't agree, please don't use the app.
1. Who we are
TrackRoom is a tool for bands and music groups to share song versions, tracks, lyrics, and timestamped feedback. It is built and operated by Tone Tree LLC.

2. Information we collect
We collect only what we need to run the app.
a) Account information. When you sign in, we receive a small amount of profile information from your sign-in provider:
- Sign in with Google — your name and email address.
- Sign in with Apple — your name and email address (or Apple's private relay email if you choose to hide it). We use this to create and identify your account and to contact you about your account.
b) Content you upload. The music and material you put into TrackRoom, including:
- Audio files (songs, versions, and tracks),
- Lyrics and chord charts,
- Comments and discussion posts (including timestamped feedback),
- Song, album, and setlist names and other organizational details,
- The names of people you invite to collaborate.
c) Purchase information. If you buy TrackRoom, payments are handled by Apple (in-app purchases) or by our payment processor Paddle (web purchases), via RevenueCat, which manages our subscriptions and entitlements. We do not receive or store your full credit card number. We receive confirmation of your purchase and entitlement status (e.g., "Lifetime," "Monthly," active/expired).
d) Notifications data. If you enable push notifications, we store the technical token needed to deliver them (a Web Push subscription, or an Apple Push token on iOS). You can turn notifications off at any time.
e) Basic technical and usage data. Like most apps, we may collect limited technical information needed to operate and secure the service — for example, log data, device/browser type, and error reports. We use this to keep the app working and to fix problems.
We do not collect special categories of sensitive personal data, and we do not knowingly collect information from children (see Section 9).
3. Where your content is stored
By default, your uploaded files are stored on our secure cloud storage (Cloudflare R2).
Optional "bring your own storage." If you choose to connect your own Google Drive or Dropbox account, your files are stored in *your* account instead, and TrackRoom accesses only the files it creates for you (it does not read the rest of your Drive or Dropbox). You can disconnect at any time.
Account data (such as your email, song organization, comments, and entitlement status) is stored in our database hosted on Cloudflare's infrastructure.
4. How we use your information
We use the information above to:
- Provide the core service — store your songs, sync them across your devices, and let your invited collaborators access them;
- Identify your account and keep it secure;
- Deliver the notifications and emails you've opted into (e.g., new version, new comment, @mention);
- Process and verify purchases and entitlements;
- Respond to support requests;
- Diagnose problems and improve reliability;
- Comply with legal obligations.
We do not sell your personal information, and we do not sell or share your music. We do not use your content to train AI models.
5. How your content is shared
Your content is private by default. It is visible only to you and the people you invite to collaborate on a given song, album, or setlist.
The only ways your content becomes visible to others are actions you take:
- Inviting collaborators — people you invite can see and interact with the songs you share with them.
- Public share links — if you create a public link for a song, anyone with that link can access it (and download it, unless you turn downloads off). You can revoke a share link at any time.
We share information with service providers only as needed to run TrackRoom — for example, cloud hosting (Cloudflare), purchase processing (Apple, RevenueCat, and our web payment processor), and email delivery (Resend). These providers handle data on our behalf under their own terms.
We may also disclose information if required by law, to protect our rights, or in connection with a business transfer (e.g., if Tone Tree LLC is sold or reorganized).
6. Data retention
We keep your account information and content for as long as your account is active. If you delete a song, version, comment, or your account, we delete the associated content from our active systems, though residual copies may remain in routine backups for a limited period before they are overwritten. We may retain certain records (e.g., purchase records) as required for legal, tax, or accounting purposes.
7. Your rights and choices
- Access and deletion. You can delete your songs, versions, and comments in the app. To delete your account and associated data, contact us at [email protected].
- Notifications. Turn push and email notifications on or off in your settings or device.
- Disconnect storage. Disconnect Google Drive or Dropbox at any time.
Depending on where you live, you may have additional rights:
- EEA/UK (GDPR): rights to access, correct, delete, restrict, or port your data, and to object to certain processing. Our legal bases are performance of our contract with you (to provide the app), your consent (e.g., optional notifications), and our legitimate interests (security and improving the service).
- California (CCPA/CPRA): rights to know, delete, and correct your personal information, and to opt out of "sale" or "sharing" — which we do not do. We will not discriminate against you for exercising these rights.

8. Security
We use reasonable technical and organizational measures to protect your information, including encrypted connections (HTTPS) and access controls. No method of storage or transmission is 100% secure, so we can't guarantee absolute security, but we work to protect your data and respond to incidents.
9. Children's privacy
TrackRoom is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
10. International users
We operate from the United States, and your information is processed and stored in the U.S. and in the regions used by our service providers (e.g., Cloudflare). If you use TrackRoom from outside the U.S., you consent to this transfer and processing.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date and, where appropriate, notify you in the app or by email. Continued use after an update means you accept the revised policy.
